Privacy Policy

Artios Institute respects the privacy of the people and families we serve. This Privacy Policy explains what personal information we collect through artiosinstitute.com and our programs, how we use it, and the choices you have.
1. Who we are
Artios Institute ("Artios," "we," "us," or "our") is operated by The Ascendant Institute, LLC, a New Hampshire limited liability company located at 1 Greenleaf Woods Dr, Suite 302, Portsmouth, NH 03801. Ascendant Institute, LLC is responsible for the personal information described in this policy.
2. What this policy covers
This policy applies to personal information we collect when you:
- Visit artiosinstitute.com or any page that links to this policy (the "Site")
- Contact us by email, phone, or the forms on the Site
- Schedule or take part in a private conversation or fit conversation
- Apply to, enroll in, sponsor, or participate in an Artios program, including coaching, retreats, cohort sessions, and online learning (the "Programs")
- Attend an Artios event, forum, or educational session
Participation in a Program is also governed by a separate written agreement. That agreement includes confidentiality terms specific to coaching. Where that agreement and this policy differ, the agreement controls for the Program.
3. Information we collect
Information you give us. This may include:
- Contact details, such as name, email address, phone number, mailing address, and organization or family office
- Inquiry details, such as the reason you are contacting us and how you heard about us
- Application and enrollment information, such as background, goals, role in a family enterprise, and responses to fit-conversation questions
- Sponsor and billing information, such as the name of the person or entity paying tuition and invoicing details
- Program information, such as coaching notes, assessment results, reflections, workbook entries, and feedback you choose to share
- Health and well-being information you choose to share during Programs, such as wellness goals or information needed for retreat logistics (for example, dietary needs or accessibility requests)
- Event and travel details needed to plan retreats, such as arrival dates and emergency contacts
Information collected automatically. When you use the Site, we and our service providers may collect device and usage data. This includes IP address, browser type, pages viewed, referring pages, and dates and times of visits. We collect this through cookies and similar technologies (see Section 9).
Information from others. We may receive information about you from a trusted advisor, family member, family office, or sponsor who introduces you or arranges your participation. We may also receive information from public sources and professional networks.
Payment card and bank details are processed directly by our payment processor. We do not store full card numbers on our systems.
4. How we use information
We use personal information to:
- Respond to inquiries and schedule conversations
- Assess fit and readiness for a Program, and process applications and enrollment
- Deliver Programs, including coaching, cohort sessions, retreats, assessments, and online learning
- Coordinate retreat logistics, travel, lodging, dietary, and accessibility needs
- Process payments, issue invoices, and keep financial records
- Share progress and participation information with sponsors, within the limits described in Section 5
- Verify our professional credentials with credentialing bodies (see Section 5)
- Send updates, invitations, and educational content you have asked to receive
- Improve our Site, Programs, and participant experience
- Protect the safety of participants and others, and meet legal obligations
Coaching confidentiality. What you share in coaching sessions is kept confidential. Sponsors, family members, and family offices who pay for or support your participation do not receive the content of your coaching conversations unless you agree.
Health information. Artios provides educational and developmental programs. We are not a medical, clinical, or therapeutic provider. We use any health or well-being information you share only to support your participation and safety. We do not use it for marketing.
We do not sell your personal information. We do not share it for cross-context behavioral advertising.
5. How we share information
We share personal information only as described here:
- Service providers. We use trusted vendors to run our business. These include website hosting, email and document storage, scheduling and video-conferencing, online learning, customer relationship management, payment processing, and accounting. They may use your information only to provide services to us.
- Faculty, coaches, and facilitators. Coaches, faculty, and retreat facilitators working on our behalf receive the information they need to deliver your Program. They are bound by confidentiality obligations.
- Retreat venues and travel partners. We share limited details, such as names, arrival dates, and dietary or accessibility needs, to arrange retreats.
- If a family member, family office, company, or trust sponsors your participation, we may share general participation and progress information with them, such as attendance and milestones. We do not share the content of coaching sessions without your consent.
- Credentialing bodies. We may share your name, contact information, and program dates with professional credentialing organizations. This is solely to verify our coaches' professional credentials.
- Safety and legal reasons. We may disclose information without consent if you indicate an intention to harm yourself or others, or an intention to break the law. We may also disclose it when required by law, court order, or legal process, or to protect the rights and safety of Artios, participants, or others. Where a sponsor arranged your participation, a safety disclosure may be made to that sponsor's designated contact.
- Business transfers. If we are involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy.
- With your consent. We may share information for any other purpose with your permission.
6. How long we keep information
We keep personal information only as long as needed for the purposes in this policy. Inquiry information is kept while we are in conversation with you and for a reasonable period afterward. Program records are kept for the length of your participation and alumni relationship. Financial records are kept as required by tax and accounting rules. When information is no longer needed, we delete it or de-identify it.
7. How we protect information
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include restricted access to participant and financial records, secure cloud storage, and confidentiality agreements with our team and contractors. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Where information is processed
Artios is based in the United States, and our service providers primarily store information in the United States. If you are located outside the United States, your information will be transferred to and processed in the United States. U.S. data protection laws may differ from those in your country. Where required, we use appropriate safeguards for these transfers.
9. Cookies and analytics
The Site uses cookies and similar technologies to keep it working, remember your preferences, and understand how visitors use it. We may use analytics services, such as [Google Analytics], that collect information about your visits. You can block or delete cookies through your browser settings. Some parts of the Site may not work properly if you do.
Some browsers send a "Do Not Track" signal. Because there is no common standard for these signals, the Site does not currently respond to them. Where required by law, we honor Global Privacy Control signals.
10. Your choices and rights
- You can unsubscribe from marketing emails at any time by using the link in the email or by contacting us. We may still send messages about your Program or account.
- Access, correction, and deletion. You may ask to see, correct, or delete the personal information we hold about you. We may need to keep some information for legal, accounting, or safety reasons.
- State and international rights. Depending on where you live, you may have additional rights. These may include the right to know what we collect, to receive a copy, to opt out of certain processing, or to withdraw consent. Residents of the European Economic Area, the United Kingdom, and Switzerland may also object to processing or complain to a local data protection authority.
To make a request, contact us using the details below. We will verify your identity before acting on a request. We will not discriminate against you for exercising your rights.
11. Children
The Site and Programs are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with information, please contact us and we will delete it.
12. Links to other sites
The Site may link to websites, videos, or services run by others. We are not responsible for their privacy practices. Please review their policies before sharing information with them.
13. Changes to this policy
We may update this policy from time to time. When we do, we will post the updated version on this page and change the effective date above. If we make material changes, we will provide additional notice, such as by email.
